Interview with Signe Gjerding who is an employee in a team that uses Klartboard
All teams have held weekly stand-up meetings for about 3 months, when we ask Signe what works well and what bothers.
What is the overall status?
I have gained a 100 percent better overview of both my own tasks and those of my colleagues. Previously, I used Excel to keep track of my tasks. It often ended up a bit messy and lacked structure. Now it just became clear. I am pleased.
How does it work in the team?
For the team, it has gotten better and better. We quickly got into a good habit, and now we also use Klartboard as a reference between the stand-up meetings. To get an insight into what each other is doing and the distribution of tasks. Our tasks are very diverse, and there can typically be several people and several skills involved in a project or a guide that we have to prepare. Now it is easy to see the progress and who is working. I think we benefit greatly from that. And it must also provide as good information for the boss.
What is helpfull - can you come up with specific examples?
In the team, there is a great need for coordination. There are often several skills involved in the tasks, and here Klartboard just works really well. In a joint process, where several people have to deliver different contributions, we can see in a common place how far each of us is, and we can see if someone estimates that they cannot meet the deadline.
You have a hard time hiding your excitement. Is everyone as satisfied as you?
Of course we use it differently. Those of us who like structure have just easily gotten started. We already did most of it, but now we just get a lot more out of it. Because the overview is at team level and is used for specific action at the stand-up meetings. I think the skeptics among my colleagues found it silly that we should gather for stand-up meetings. Several asked what the use would be. It has helped here that our boss played openly. We discussed objectives and concerns before we started, and we agreed to give it a shot.
Can you say a little about what everyday life is like with the stand up meetings?
I really like our stand-up meetings. We start with a brief look at the past week, and then we look into the plan for the coming week. That's an effective half hour every week. It works well. And I do not feel that we are being taken away from our work.
I spend maybe half an hour a week creating and updating tasks in Klartboard. In the beginning, I spent more time, because we had to add a lot of content. But now that it's all posted, I spend the time updating and creating new ones. My half an hour is more spent thinking about what I have to do. So, I get to create an overview and make a prioritized plan for the week. I also used that time before, but now there is actually a management and a team that demands it. After all, we use it quite specific to adjust the plans at the stand-up meeting. Some tasks are moved to others. Some deadlines are postponed, and then we are good at just agreeing that this and that one can get feedback afterwards. It is awesome. And it makes so much sense. And so it gives me personally a sense of belonging. We belong together in a team, and I can see my tasks and efforts as part of a team.
Do you have good advice for others who are about to get started?
Go into it with an open mind. The transparency is good because we can help each other more easily and feel like a team. And then it is just important that everyone is ready to use the transparency properly. In a good and respectful way.
And then, luckily, we had time to play with the system at the beginning. Of course, you have to learn to navigate between Project boards, Team Plans and My View. We have some great admin users in the team who have helped. And it has actually been great that Klart is there to help as well. It is really contagious that you seem as if you are actually concerned that it should work for us. It's pretty good.
